My work & digital tools

I work as Sr.Office Admin and Marketing Consultant. I manage different administrative matters, assist HR and do different marketing and communication initiatives. In my daily work I use many different digital tools.

Microsof Office

In my daily work I use many different apps from Microsoft Office: Outlook, Teams, Word, Excel, PowerPoint, OneNote, Forms and SharePoint which is the base of our intranet. Via Oulook I manage emails and meetings. Teams is for meetings but also for project works and teams as we keep our documents there for everyone to access. Word, excel and powerpoint are used for documents, presentations, planning and budgeting. I like to use OneNote to manage my own work and store there important documents, guidelines etc. which I only need. I arrange different events in the office so I use Forms to record attendace but also for different feedback surveys. SharePoint is the base of our intranet which I update but we also store documents there.

LinkedIn

We have one LinkedIn channel for our Nordic countries which I update together with our Marketing Manager. I work in big global company and in all we have almost thirty LinkedIn channels. During my workdays I also just scroll LinkedIn to see what out other channels have been posting and others to get ideas what we could do next in our Nordic LinkedIn channel. We don’t use any other socia media channels.

Khoros

With Khoros we can also manage our LinkedIn channel. Via Khoros we can see a calendar of what our other channels are planning to post. We can also directly rehshare posts via Khoros which makes it easier. Best feature in Khoros is that we can time our posts.

Canva

I like to use Canva occasionally when I am creating something more visual like greeting cards or event posters. I don’t have any editing tools availbale at work so sometimes I use Canva even for creating some offical materials we use. Canva is easy to use and as visial person I like to use it a lot for more unformal things we do: vappu cards, women’s day wishes, editing videos etc.


New tools

These are the new tools I chose and how I would utilize them in my daily work as Sr. Office Admin and Marketing Consultant. I also looked this bit more broader way on how our organization could benefit from these as I would be using the tool with the organization.

Doodle

Doodle helps to set up meetings. Nowadays there is a lot of meeting, internal and external ones. Even though I keep my calendar up-to-date people still put meetings where I am busy. Our Outlook Calendar setting automatically so that your calendar bookings are shows us busy or free. Having Doodle would help to set and organize meeting when it is suitable for me. Especially with external meetings sometimes there is multiple emails back and forth when trying to book meeting, Doodle would elimate those multiple emails.

Issuu

I like when documents, pictures, presentations, newsletter ect. look visually nice. With Issuu I could create nice social media posts to our LinkedIn channel but also to produce other visual materials which we can use internally. Did not find from the site if it is possible to download own brand colors and logos, as everything we publihs, especially externally, needs to be align with our brand. But in generally Issuu would help in creating visual materials as Canva is not the best one for that.

Monday

Quite many of the tools which were listed were about project management and from all of them I liked Monday the best. What I liked most was to be able to see clearly who is responsible of what thast and what is the status and deadline. As now when we have a meeting we write actions to PowerPoint we are working, in email or to the calendar invitation. With Monday everyone on the project could easily see what everyone is working on and the status. This would also reduce amount of follow up emails.

Robin

Due to hybrid working model employees visit the office less and not frequently. But when you go to office you want to make sure that there is also other employees. With Robin we can book a workstation but more imporantly others can see when you are in the office. I would like to use this one and see if this would in a way increse the amount of people we have in the office, as this is something I am working with.

Discord

As I work with internal communication and intenal company matters, I would like to have more converstation between the organization. We have two offices and a lot of homebased employees in Finland but we don’t have one communication channels to use and help us to feel belongging to the organization. First I thought about Jodel but came to conclusion that anonymous chat place might not be the best so I chose Discord. In Discord we can have multiple discussion channels. One channel for each offices and under office we can have different channels. But via Discord our homebased employees would also feel part of the organization as we can have multiple different channels on various topics.


Socia media

Social media has both positive and negative sides. I personally use only Instragram and YouTube but even in just two social media channels you can see a lot of negativity too trhough people’s comments. It is easy to hide behind user name and say anything. That is also one of the reason I chose Discord as communication channel to work and not Jodel where people can disuss anonymously.

There is still a lot of good, positive things in social media and that’s why millions of people around the world spend hours in a day in different social media channels. You can connect with people who share similar interest for exampe in music, fashion or cooking. Many people have turned their social media accounts into a business. Social media is also evolving. If we just look Instagram, first people posted only pictures and now reels videos and stories are taking over.


Self evaluation

It was interesting to explore new tools and find suitable ones. There are so many different ones for different purposes. In few years we will have again new tools of something we cannot maybe even think of now.

    Hi Tina and thanks for sharing your experience with different digital tools!

    I think your suggestions for new tools like Doodle and Monday could be very useful in improving efficiency and communication. I also agree with your thoughts on social media and the importance of finding the right communication channels for your organization. It’s great that you’re considering different options like Discord to help your remote employees feel more connected.
